The UK, US and Australia move their clocks during the year, so check the offset in the week you book the call. Put the time in both zones in the invite.

What if you only land a few days before the wedding?

Many couples living abroad arrive a week out, sometimes less. That is workable if the decisions are already made. Settle the family-frame list, the getting-ready locations and the order of events before you fly, and keep the week in India for a short meeting with the photographer, ideally at the venue at the hour the main event will happen. Seeing the light in that room at that time tells both of you more than a floor plan. What should you send before the first call?

Writing things down matters more when you are far away, because a call at 6am your time is not when you remember details. Send these before anyone talks:

  • The event timeline: every event, its date, its start time and the venue. A rough muhurtham time is fine if the final one is not fixed.
  • Where each side gets ready, and how far apart those places are.
  • The family-frame list: the people who must be photographed, with a relative on the ground who can point them out.
  • Anything particular to your family or community that a photographer might not recognise.

How do parents and grandparents stay involved?

Often they are the ones who will be at the venue walkthrough, and they know which relatives matter. Invite one of them to a video call, keep it short, and ask them to check the family-frame list. Share a written summary afterwards so nobody relies on memory of a call held across three time zones.

How do the photographs and film reach you abroad?

Online delivery works the same wherever you live: a gallery link and a download for the film. Ask how long the links stay active and download everything the week it arrives.

Printed albums are different. Ask the studio who arranges shipping to an overseas address, who pays for it, and who pays any customs charges at your end. Some couples have albums delivered to parents in India and carry them back on the next trip. Decide this before you sign, not when the album is ready.

Should you think in rupees or your own currency?

Convert at the rate on the day you pay rather than fixing a number in your head months earlier, and ask how the studio accepts payment from abroad and whether transfer charges fall on you.

What should you confirm before paying a booking amount?

  1. The written scope: which events, how many hours, how many crew.
  2. The named lead photographer, in the contract, and who replaces them if they are ill.
  3. Delivery dates for the preview, the full gallery and the film.
  4. Cancellation and postponement terms: what is refundable, what moves to a new date, and by when.
